Life Event Benefits Changes


Ensure Your Benefits Meet Your Needs

IMPORTANT: Outside of annual Open Enrollment, you are only eligible to make changes to your benefits elections if you have experienced a qualifying life event, such as a:

  • Marriage / Divorce
  • Birth / Adoption
  • Gain or Loss of Other Coverage
  • Dependent turning age 26
  • Death

The life event scenarios below explain the changes and benefits-related tasks that need to be completed.

 

  • You will have 31 days from the event date to log in to Workday and type in the search box Change Benefits.
  • Benefits for the new spouse and any children / stepchildren are effective the date of marriage.
  • To enroll any dependents, you will need:
    • Marriage certificate for spouse coverage
    • Birth certificate(s) for child(ren) coverage
    • Social Security cards for all dependents

A Spouse legal name change in Workday can be completed after a copy of the new Social Security card is sent to HR.

  • You will have 31 days from the event date to log in to Workday and type in the search box Change Benefits.
  • Benefits changes are effective the date of the divorce.
  • Former spouse/step-children MUST be removed within 31 days from the divorce as they are no longer eligible dependents.
  • To remove the dependents, you will need the divorce decree.
  • A COBRA packet to extend Full Time benefits to the former spouse/step children will be sent to the mailing address on file.

  • You will have 31 days from the event date to log in to Workday and type in the search box Change Benefits.
  • Benefits are effective the date of birth / adoption / legal guardianship.
  • To enroll your new child, you will need Social Security card AND one of the following: 
    • Verification of birth,
    • Birth certificate, 
    • Adoption agreement, or 
    • Legal guardianship agreement
  • Please note: Do NOT wait for a Social Security card and/or birth certificate to make benefit changes in Workday; you must submit changes within 31 days of the addition of the new child. Once the new child’s social security card is received, please send a copy to HR.
  • A verification of birth document MUST contain the child’s name, date of birth, names of both parents, and the hospital name.

  • You will have 31 days from the event date to log in to Workday and type in the search box Change Benefits.
  • Benefits will begin or end on the date of other coverage.
  • A document showing proof of other coverage or loss of coverage including effective date, benefits elected and covered individuals.
  • To enroll any dependents, you will need:
    • Marriage certificate for spouse coverage
    • Birth certificate(s) for child(ren) coverage
    • Social Security cards for all dependents

If an employee or dependent of an employee is turning age 26, and the employee and / or dependent has been covered under their parents' / guardians' benefits coverage, this is a qualifying life event. If you are the employee turning age 26 and losing coverage, you will need to enroll in your own benefits. If you are the parent or guardian of a dependent turning age 26, you will need to drop the dependent from your coverage.

  • You will have 31 days from the event date to log in to Workday and type in the search box Change Benefits.
  • Benefits will begin or end on the date of other coverage.
  • A document showing proof of other coverage or loss of coverage including effective date, benefits elected, and covered individuals.
  • To enroll any dependents, you will need:
    • Marriage certificate for spouse coverage
    • Birth certificate(s) for child(ren) coverage
    • Social Security cards for all dependents

In the event of a death of the employee or a dependent, please notify HR.
